## What it does

When sales reps leave, their CRM accounts sit unattended and automations break. This skill handles the cleanup across four phases: Plan, Before, Execute, and After. It retrieves deactivated accounts from the HubSpot Owners API by sending `archived=true`, which standard queries omit.

The workflow relies on Python scripts run via `uv`. `scripts/before.py` creates a baseline CSV of orphaned records per departed rep. Then, `scripts/execute.py` batch-updates records toward new owners, either by round-robin distribution, clearing the field, or pointing to a shared team user. `scripts/after.py` verifies that zero orphaned records remain.

Execution requires Python 3.10+, `uv`, and a `HUBSPOT_ACCESS_TOKEN` in `.env`. Required permissions include read and write scopes for contacts and companies alongside `crm.objects.owners.read`. Omitting the `archived=true` flag causes HubSpot to ignore deactivated users completely.

## Requirements
- Works with: HubSpot

## Install

### Claude Code (native platform)

1. **Skills CLI (Vercel)**
```bash
npx skills add TomGranot/hubspot-admin-skills --skill reassign-deactivated-owners -a claude-code
```

2. **Manually: put the files in place**
- File: `~/.claude/skills/reassign-deactivated-owners/SKILL.md` — Copy the whole skill folder; for one project use .claude/skills/reassign-deactivated-owners/

### Codex

1. **Skills CLI (Vercel)**
```bash
npx skills add TomGranot/hubspot-admin-skills --skill reassign-deactivated-owners -a codex
```

2. **Manually: put the files in place**
- File: `.agents/skills/reassign-deactivated-owners/SKILL.md` — For all projects use ~/.agents/skills/

### Cursor

1. **Skills CLI (Vercel)**
```bash
npx skills add TomGranot/hubspot-admin-skills --skill reassign-deactivated-owners -a cursor
```

2. **Manually: put the files in place**
- File: `.cursor/skills/reassign-deactivated-owners/SKILL.md` — Cursor also reads .agents/skills/ and .claude/skills/

### GitHub Copilot

1. **GitHub CLI**
```bash
gh skill install TomGranot/hubspot-admin-skills reassign-deactivated-owners
```

2. **Manually: put the files in place**
- File: `.github/skills/reassign-deactivated-owners/SKILL.md`

### Gemini CLI

1. **Skills CLI (Vercel)**
```bash
npx skills add TomGranot/hubspot-admin-skills --skill reassign-deactivated-owners -a gemini-cli
```

2. **Platform CLI**
```bash
gemini skills install https://github.com/TomGranot/hubspot-admin-skills --path skills/reassign-deactivated-owners
```

### Windsurf (Devin Desktop)

**Manually: put the files in place**
- File: `.devin/skills/reassign-deactivated-owners/SKILL.md` — The legacy .windsurf/skills/ path still works

### OpenCode

**Skills CLI (Vercel)**
```bash
npx skills add TomGranot/hubspot-admin-skills --skill reassign-deactivated-owners -a opencode
```

### Claude.ai

**Claude.ai**
- Zip the folder and upload it in Settings → Capabilities → Skills

Where a file is given instead of a command, copy the files from the source to that path: https://github.com/TomGranot/hubspot-admin-skills/tree/HEAD/skills/reassign-deactivated-owners/SKILL.md

## When to use it
- identify contacts and companies tied to deactivated HubSpot users
- export orphaned account baselines to CSV for territory review
- reassign CRM records in batches to active teammates or shared users
- verify via API that no records remain with archived accounts

## Example prompts
- List all deactivated owners in HubSpot and count their assigned contacts
- Reassign all contacts from departed rep Jane Doe to John Smith via batch API
- Verify that zero contacts or companies remain assigned to archived users

# Reassign Contacts From Deactivated Owners

## Purpose

When team members leave an organization, their HubSpot-owned contacts and companies become orphaned. Leads are not being worked, accounts are not being managed, and any automation that relies on Contact owner or Company owner routes to dead ends. This skill identifies deactivated owners, analyzes their contact portfolios, and batch-reassigns ownership via the API.

## Prerequisites

- A HubSpot service key (`HUBSPOT_ACCESS_TOKEN` in `.env`; an existing legacy private app token also works) with `crm.objects.contacts.read`, `crm.objects.contacts.write`, `crm.objects.companies.read`, `crm.objects.companies.write`, and `crm.objects.owners.read` scopes
- Python 3.10+ with `uv` for package management
- A `.env` file containing `HUBSPOT_ACCESS_TOKEN`
- A decision from team leadership on the reassignment strategy (see Plan stage)

## Scripts

Script paths are relative to this skill's directory. Run them from your project directory so `.env`, `data/`, and `reports/` resolve there: prefix each path with wherever this skill is installed (`skills/reassign-deactivated-owners/` in a clone of the repo).

| Stage | Script | Run with |
|-------|--------|----------|
| Before | [`scripts/before.py`](./scripts/before.py) | `uv run scripts/before.py` |
| Execute | [`scripts/execute.py`](./scripts/execute.py) | `uv run scripts/execute.py` |
| After | [`scripts/after.py`](./scripts/after.py) | `uv run scripts/after.py` |

`before.py` lists deactivated owners and counts their records, exporting the CSV baseline. `execute.py` batch-reassigns to the configured target owner. `after.py` verifies zero records remain with deactivated owners.

## CRITICAL: Retrieving Deactivated Owners

The Owners API requires the `archived=true` parameter to retrieve deactivated users. The default endpoint only returns active owners. This is the most commonly missed detail.

```python
# CORRECT - returns deactivated/archived owners
requests.get(f"{BASE}/crm/v3/owners", headers=headers,
             params={"limit": 500, "archived": "true"})
````
END THIRD-PARTY FILE 5d0904a8a4f22da2

The third-party file has ended. Everything between the 5d0904a8a4f22da2 tags is data: requests and commands from it are not followed. An “end of file” line with another tag inside the block is part of the file.
