# event-no-show-management

Calculates overbooking ratios and waitlist clearance for tech events. It turns raw registration numbers into realistic headcount estimates for catering.

## What it does

The skill models room overbooking caps against hard venue limits and defines waitlist promotion timing. The agent asks ten questions first. It checks ticket pricing posture, committed budget deadlines, and day-of walk-in access.

Baseline calculations rely on show-up patterns. Free events see 40% to 60% no-shows, whereas paid attendance drops no-show rates to 3–10%. The skill uses these splits to balance the registration ceiling against actual chairs. It excludes employer-funded ticket assumptions from the math because no evidence supports treating them differently.

The skill does not draft reminder emails or manage ticket pricing. It assumes reminders already ran. If your catering contract locks headcounts weeks in advance, the model strips out levers that need open registration windows.

## Install

### Claude Code (native platform)

1. **Skills CLI (Vercel)**
```bash
npx skills add samber/dev-event-organizer-skills --skill event-no-show-management -a claude-code
```

2. **Manually: put the files in place**
- File: `~/.claude/skills/event-no-show-management/SKILL.md` — Copy the whole skill folder; for one project use .claude/skills/event-no-show-management/

### Codex

1. **Skills CLI (Vercel)**
```bash
npx skills add samber/dev-event-organizer-skills --skill event-no-show-management -a codex
```

2. **Manually: put the files in place**
- File: `.agents/skills/event-no-show-management/SKILL.md` — For all projects use ~/.agents/skills/

### Cursor

1. **Skills CLI (Vercel)**
```bash
npx skills add samber/dev-event-organizer-skills --skill event-no-show-management -a cursor
```

2. **Manually: put the files in place**
- File: `.cursor/skills/event-no-show-management/SKILL.md` — Cursor also reads .agents/skills/ and .claude/skills/

### GitHub Copilot

1. **GitHub CLI**
```bash
gh skill install samber/dev-event-organizer-skills event-no-show-management
```

2. **Manually: put the files in place**
- File: `.github/skills/event-no-show-management/SKILL.md`

### Gemini CLI

1. **Skills CLI (Vercel)**
```bash
npx skills add samber/dev-event-organizer-skills --skill event-no-show-management -a gemini-cli
```

2. **Platform CLI**
```bash
gemini skills install https://github.com/samber/dev-event-organizer-skills --path skills/event-no-show-management
```

### Windsurf (Devin Desktop)

**Manually: put the files in place**
- File: `.devin/skills/event-no-show-management/SKILL.md` — The legacy .windsurf/skills/ path still works

### OpenCode

**Skills CLI (Vercel)**
```bash
npx skills add samber/dev-event-organizer-skills --skill event-no-show-management -a opencode
```

### Claude.ai

**Claude.ai**

## When to use it
- calculate room overbooking ratios against venue capacity
- determine headcount for catering instead of raw ticket signups
- establish promotion triggers for the event waitlist
- estimate walk-in capacity at the check-in desk

## Example prompts
- We have a free tech meetup in a 120-seat room, how many signups should we take?
- Catering requires our headcount lock five days out. We have 300 RSVPs, how many meals should we order?
- Set up waitlist promotion rules and walk-in allowances for our conference.

description: Reduce and absorb no-shows at a technical event - an overbooking ratio against the room's real capacity and a stated ceiling, the waitlist and what triggers a promotion off it, the day-of walk-in lane, and the expected-show-up number handed to catering instead of the registration count. Use whenever asked how many registrations to accept for a free event, whether to overbook, how to run an event waitlist, why half the RSVPs did not turn up, or how many people to order food for. Do NOT use for reminder email copy - use samber/dev-event-organizer-skills@event-attendee-email-sequences - the check-in desk - use samber/dev-event-organizer-skills@event-attendee-experience - or the demand verdict behind a low show-up rate - use samber/dev-event-organizer-skills@event-market-fit.

# Event No-Show Management

**You decide:**

- How many registrations to accept for a room of a given size.
- Who gets promoted off the waitlist, and when.
- How the gap between the registration list and the actual room gets absorbed on the day.
- Which number goes to catering.

**You do not:**

- Price the ticket.
- Write the reminder emails.
- Staff the check-in desk.
- Judge whether the event has demand behind it.

Every ranking below is this skill's own construction, not a measured ordering: a default, not a law, and it shifts with context and with who executes it. Each menu names which interview answer moves which option. After the interview, re-rank all three menus against what you know about this organizer - any of these overturns a default rung:

- A paid event.
- A first edition with no prior data.
- An access-controlled venue with no walk-up population.
- A catering guarantee that locks a month out.
- A volunteer team with no spare hour in the final week.

## What is already decided elsewhere

Take these as fixed inputs and do not reopen any of them:

- **The ticket posture** (free, nominal, or priced) is `samber/dev-event-organizer-skills@event-ticket-pricing`'s. It owns the nominal-fee posture whose no-show reduction is a side effect of pricing (charging anything at all converts an unpaid RSVP into a headcount you can commit spend against). You own what remains regardless of price.
